Welcome to Docplan. These Terms of Service ("Terms") govern your access to and use of our healthcare appointment scheduling platform. By using Docplan, you agree to be bound by these Terms.
Please read these Terms carefully. If you do not agree to these Terms, you may not use our services.
Docplan is a scheduling platform and does not provide medical advice, diagnosis, or treatment. Always seek the advice of your physician or other qualified healthcare provider with any questions you may have regarding a medical condition.
By creating an account, accessing, or using Docplan, you acknowledge that you have read, understood, and agree to be bound by these Terms, our Privacy Policy, and all applicable laws and regulations.
If you are using Docplan on behalf of an organization (such as a healthcare provider), you represent and warrant that you have the authority to bind that organization to these Terms.
Docplan provides an online platform that enables patients to schedule, manage, and track appointments with healthcare providers. Our services include:
Docplan does not provide medical services. We are a technology platform that facilitates scheduling between patients and healthcare providers.
To use certain features of Docplan, you must create an account. You agree to:
You must be at least 18 years old to create an account. For users aged 13-17, a parent or legal guardian must create and manage the account. Docplan is not intended for children under 13.
We reserve the right to suspend or terminate your account at any time for violation of these Terms, fraudulent activity, or other conduct that we determine to be harmful to other users, healthcare providers, or Docplan.
Docplan complies with the Kenya Data Protection Act, 2019. We are registered as a Data Controller with the Office of the Data Protection Commissioner and process your personal and health information in accordance with Kenya's data protection regulations.
By using Docplan, you authorize us to collect, use, and disclose your information as described in our Privacy Policy and as necessary to facilitate your healthcare appointments.
Docplan complies with the Tanzania Personal Data Protection Act, 2022. We process your personal and health information in accordance with Tanzania's data protection regulations and the guidelines of the Tanzania Data Protection Authority.
By using Docplan, you authorize us to collect, use, and disclose your information as described in our Privacy Policy and as necessary to facilitate your healthcare appointments.
Docplan complies with the Oman Data Protection Law. We process your personal and health information in accordance with Oman's data protection regulations and respect your rights as a data subject.

Docplan complies with the UAE Federal Data Protection Law. We may store data on UAE-based servers to comply with data residency requirements and process your personal and health information in accordance with UAE's data protection regulations.
By using Docplan, you authorize us to collect, use, and disclose your information as described in our Privacy Policy and as necessary to facilitate your healthcare appointments.
Healthcare providers using Docplan acknowledge that we act as a Business Associate under the Health Insurance Portability and Accountability Act (HIPAA). By using our platform, healthcare providers agree to execute a Business Associate Agreement (BAA) with Docplan, which governs our handling of Protected Health Information (PHI).
For patients: By using Docplan, you authorize us to collect, use, and disclose your health information as described in our Privacy Policy and as necessary to facilitate your healthcare appointments.
We implement administrative, physical, and technical safeguards designed to protect your information in accordance with applicable data protection requirements. However, no system is completely secure, and we cannot guarantee absolute security.

The Docplan platform, including all content, features, functionality, software, text, graphics, logos, and trademarks, is owned by Docplan and is protected by copyright, trademark, and other intellectual property laws.
You are granted a limited, non-exclusive, non-transferable license to access and use Docplan for its intended purpose. You may not copy, modify, distribute, sell, or lease any part of our platform without our express written permission.
Note: Direct payment processing through our platform is currently in development and will be available in Q1 2026. Until then, payment arrangements are coordinated directly between patients and healthcare providers outside the platform.
Payment for healthcare services is made directly to the healthcare provider through our platform. You agree to pay all fees for services you book at the rates displayed at the time of booking.
We use third-party payment processors to handle transactions. By providing payment information, you authorize us and our payment processors to charge the specified amounts for appointments and services.
Refund policies are determined by individual healthcare providers. Please review the provider's cancellation and refund policy before booking. Docplan is not responsible for issuing refunds for healthcare services.
Each healthcare provider sets their own cancellation policy. Cancellation fees may apply if you cancel an appointment without sufficient advance notice as specified by the provider's policy.
You can cancel appointments through your Docplan account. We recommend reviewing the provider's cancellation policy before booking.
DOCPLAN IS NOT A HEALTHCARE PROVIDER AND DOES NOT PROVIDE MEDICAL ADVICE, DIAGNOSIS, OR TREATMENT. WE ARE A SCHEDULING PLATFORM ONLY.
The platform is provided for informational and scheduling purposes. Always consult with qualified healthcare professionals for medical advice.
THE PLATFORM IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT.
We do not warrant that the platform will be uninterrupted, error-free, or free of viruses or other harmful components. We do not guarantee the accuracy, completeness, or reliability of any content or information on the platform.
TO THE MAXIMUM EXTENT PERMITTED BY LAW, DOCPLAN AND ITS OFFICERS, DIRECTORS, EMPLOYEES, AND AGENTS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, USE, OR GOODWILL, ARISING OUT OF OR RELATED TO YOUR USE OF THE PLATFORM.
OUR TOTAL LIABILITY TO YOU FOR ANY CLAIMS ARISING OUT OF OR RELATED TO THESE TERMS OR YOUR USE OF THE PLATFORM SHALL NOT EXCEED THE AMOUNT YOU PAID TO US IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM, OR $100, WHICHEVER IS GREATER.
Some jurisdictions do not allow the exclusion or limitation of certain warranties or damages, so some of the above limitations may not apply to you.
You agree to indemnify, defend, and hold harmless Docplan and its officers, directors, employees, agents, and affiliates from and against any claims, liabilities, damages, losses, costs, or expenses (including reasonable attorneys' fees) arising out of or related to:
These Terms shall be governed by and construed in accordance with the laws of the Republic of Kenya. Any disputes arising out of or related to these Terms or your use of the platform shall be subject to the exclusive jurisdiction of the Kenyan courts.

These Terms, together with our Privacy Policy and any other agreements expressly incorporated by reference, constitute the entire agreement between you and Docplan regarding your use of the platform and supersede all prior agreements and understandings.
